Job Description

The Management System Manager is accountable for the management of the live Management System (SEMS) and lead improvements to it in line with LC17 and LC1 and in support of the Sellafield Ltd Quality Policy. They are also accountable for ensuring that control and governance processes are in place and managed, for all change activity that impacts the live management system and management system compliance activities across the Enterprise.

These activities include working collaboratively with Regulators, Process Owners, Compliance Requirement Owners, Process Leaders, and Process Sponsors. They are responsible for Co-ordinating the improvement in the effectiveness of Management System content and upholding its integrity, whilst ensuring compliance to business obligations in a change environment. They provide advice on how the Management System should evolve to provide sound foundations for its improvement.

The Management System Manager reports to the Senior Management System Manager and manages a team of Management System support personnel.


Principal Accountabilities

• Working collaboratively with Process Owners and Subject Matter Experts (SMEs) (including Compliance Requirement Owners), leading improvements to the management system content, to enhance integrity and provide sound foundations for improvement.
• Develop, deliver, and maintain a system for identifying compliance requirements and how these relate to business processes and ensure that the business can maintain and demonstrate compliance with obligations at all times. Manage and mentor Process Owners and Compliance Requirement Owners in order to help them achieve and sustain SQEP status.
• Support the management and maintenance of the 1.3.3 Maintain the Management System arrangements.
• Provide advice on how the Management System products should evolve in line with LFE, as users provide feedback and establish implementation/ roll out plans to deliver their benefits.
• Provide advice on proposed Management System arrangements to ensure they meet the framework requirements and ensure the integrity of the Management System is maintained.
• Provide strategic and tactical advice and support for improving Management System configuration management/ Gatekeeping authority.
• Contribute to regulator and third-party certification interface relating to the Management System framework.
• Support Process Performance assurance activities for the Management System framework, identifying and addressing opportunities for improvements, where applicable.
• Working with the SEMS Assurance Manager, to identify and establish KPIs for the Management System and it’s improvements to demonstrate and publicise outcomes and benefits.
• Liaise and build relationships with key stakeholders, customers, and process Owners / SMEs to support the effective collaboration of processes, provide a high level of customer support for the Management System and influence the right culture to ensure and facilitate compliance with Sellafield Ltd obligations.
• Support the effective communication between Sellafield Ltd. the regulators, and other external stakeholders communicating efficiently and effectively to build confidence in the outcomes and benefits of the Management System and any future transitions.
• Monitor and report progress and performance to agreed timescales.
• Working collaboratively with Compliance Requirement Owners to ensure compliance definition is carried out consistently across the Enterprise whilst meeting regulatory and business requirements.
• Co-ordinate the definition, implementation and maintenance of a governance and assurance framework to support the adherence to audit and compliance requirements. • Maintain Management System content, working with Process Owners, and where appropriate, define and request improvements of the platform to provide business benefits.
• Maintain Management System compliance information, working with Compliance Requirement Owners, and where appropriate, define and request improvements of the platform to provide business benefits.
• Identify improvements to, and develop, training material and SQEP arrangements, where appropriate, for key management system roles and end users.
• Manage and mentor Process Owners and Compliance Requirement Owners in order to help them achieve and sustain SQEP status.


Essential Skills

• Demonstrable understanding of management systems requirements and obligations.
• Knowledge and experience of Sellafield Ltd.’s regulatory requirements.
• Able to conduct assurance activities and develop robust action plans.
• Strong communications and influencing skills, at all levels, with the ability to advise and coach others using technical knowledge.
• An eye for detail and a challenging attitude.
• Strong written and verbal communication skills and be people-orientated with experience of influencing others. Comfortable communicating with both internal and external stakeholders at all levels of the organisation (including our regulators and other external stakeholders).
• Ability to lead and deliver improvement activities for the benefits of the business.
• Demonstrable high level of continuous improvement.
• Good IT skills and proven track record of effectively reporting on performance and benefits/ valued outcomes and promoting successes.


Desirable Skills

• Demonstrable broad understanding of the business.
• Experience in external stakeholder engagement, including third party certification body, regulators and WANO.
• Ability to analyse results and identify common themes at strategic and tactical level.
• Business/ process improvement tools – including problem solving and root cause analysis.
• Plant/ operations/ project experience.
• ISO 9001 / 14001 / 45001 training.
• Chartership of a recognised professional organisation.
